Our client is a global pharmaceutical manufacturer operating in a highly regulated, asset-intensive production environment. The organisation manages a large portfolio of critical production equipment and relies on a lean, multi-skilled operations team to support both production and maintenance activities.

Given the scale of production equipment, effective maintenance management plays an important role in supporting day-to-day operations and long-term asset performance.

Balancing maintenance demands

As the organisation evolved, our client needed to establish a more structured approach to maintenance management. Our client required a system that could support essential maintenance operations without introducing unnecessary complexity.

At the same time, the realities of operating a lean, multi-skilled team shaped the requirements. The solution needed to be practical, easy to use, and efficient to manage. Specifically, the team needed a way to:

  • Support preventive maintenance activities
  • Provide clear visibility of asset condition and performance
  • Enable efficient management of a large production equipment base, and
  • Fit seamlessly into existing workflows without adding administrative burden

The priority was not to overhaul processes, but to implement a system that worked effectively within the realities of a lean, multi-skilled team.

The MEX solution

To address these needs, our client implemented MEX. From the beginning, the system provided a practical and accessible solution that aligned with the realities of a lean team.

Unlike organisations with dedicated CMMS administrators, our client balances maintenance responsibilities alongside broader operational duties, making simplicity and usability especially important. MEX enabled the team to centralise maintenance activities in a single, easy-to-use platform, supporting both preventive and day-to-day maintenance operations without requiring advanced system expertise. Its intuitive design ensured team members could quickly adopt and use the system without needing to spend significant time managing it.

"MEX works well for us because it’s easy to use and fits how a small team operates. We don’t need to be experts in the system to get value from it.  It helps us keep on top of maintenance and stay organised without adding extra workload." — Operations Team, Global Pharmaceutical Manufacturer

MEX also plays an important role in our client’s maintenance workflow. The Operations Team uses MEX to raise work requests when equipment issues are identified, or plant improvements are required. By leveraging the asset tree, users can pinpoint the exact equipment or location requiring attention, ensuring requests are accurate and actionable.

Once submitted, work requests are reviewed and, in most cases, converted into work orders for planning and execution. This helps ensure genuine maintenance issues and improvement opportunities are captured, prioritised, and addressed efficiently.

Today, MEX supports:

  • Preventive maintenance scheduling and tracking
  • Day-to-day maintenance planning and execution
  • Equipment upkeep and performance tracking, and
  • Annual asset condition assessments and replacement planning

This approach ensures that maintenance activities remain structured and proactive, while still fitting seamlessly into the team’s broader responsibilities.

Driving operational efficiency & asset visibility

With MEX in place, our client established a consistent and reliable approach to maintenance management that aligns with the needs of a lean team.

Operationally, preventive maintenance activities are structured and easy to keep on schedule without adding unnecessary administrative effort. Tasks are clearly defined and accessible, allowing team members to manage maintenance alongside their broader responsibilities.

The system provides clear visibility into equipment condition and maintenance requirements, supporting more informed discussions during annual asset assessments and replacement planning, where the team reviews condition, maintenance needs, and future priorities.

Importantly, MEX has become a natural part of day-to-day operations. Rather than sitting outside existing processes, it fits into how the team plans and executes maintenance, supporting consistency and ease of management across the organisation.

A partnership for long-term success

A key factor in our client’s long-term success with MEX has been the strength of the support relationship.

Over more than a decade of use, the Operations Team has engaged with the MEX support team, particularly through the Australian-based support function. From routine support requests to annual renewals, our client highlighted the responsiveness of the MEX support team, the continuity of the relationship, and the understanding of their operational environment.

This ongoing partnership has reinforced confidence in the system and contributed to its sustained value as part of the site’s maintenance operations.

Looking ahead

Building on its current success, our client is exploring additional ways to extend the value of MEX.

Areas of interest include:

  • MEX Mobile, to improve accessibility and efficiency for a team that is often working on the floor rather than at a desk.
  • AI Insights, to reduce the manual effort required to create reports and extract insights from maintenance data.
"We’re looking forward to exploring more of what MEX can offer, especially around mobile and AI. Anything that helps us reduce manual reporting and get clearer insights from our data will make a real difference for a team like ours." —  Senior Operations Leader, Global Pharmaceutical Manufacturer

Given the team’s lean structure and multi-role responsibilities, both capabilities offer opportunities to further streamline workflows and make better use of existing data, without adding complexity.

For our client, the value of MEX lies in its simplicity. It provides an easy-to-use platform for managing preventive maintenance, supported by a responsive support team and the flexibility to expand into areas such as mobile and AI Insights, allowing a lean team to stay organised and focused on day-to-day operations.
